Annual Meeting

Board Members in Attendance: David B, JJ, Karen, Sarah, Jan
Board Members Absent: David W, Toni
O’Neil Gilliam, Landscape Manager
About 9 members attended
Landscaping:
- Transitioning to fall projects
- Urban Landscaping is doing a good job
- Should still be able to get the pump house project done this year
Clubhouse:
- Asked Lisa to put up the calendar on the portal so we can practice the new reservation system.
- We need to get the procedures on paper by the next meeting so we can announce to the neighborhood.
- Semi-annual HVAC maintenance done
Old Business:
- Tennis light repair rescheduled for tomorrow.
- The Point sign: emailed the developer twice, waiting for response.
- David B has set filters to forward board emails to everyone but Jan. Now we just wait for there to be one to see if it works.
- Little Library is ready for installation.
New Business:
- Request for driveway expansion
- Voted to approve
- Look at this potential violation: what do we need to do about it?
- Golf cart is on pavement. Rules don’t prohibit golf carts outside.
- Trailer full of lawn equipment: at least it’s backed in. Also not specifically forbidden in the covenants.
- Town & Country sent next year’s contract and there is no increase.
- Officers:
- Need to select officers for next year
- President:
- Primary contact with Town & Country and other vendors
- Make small, routine decisions, consult board on others
- Coordinate communications within the board
- Write agenda and manage meetings
- Treasurer
- Review all invoices for payment
- Monitor budget and bank accounts
- Report to the board at each meeting
- Prepare sample budget for next year
- Manage budget meeting
- Secretary
- Write and disseminate meeting minutes
- Architectural Review Chair
- Primary contact for architectural review
- Coordinate review with the board, communicate board decisions to Town & Country
- Not all board members present. Put off until we can be together.
Financial:
- Had first budget meeting. Final budget meeting scheduled for two weeks.
Pool:
- Lady’s shower got done with no tile repair needed.
- Cover anchors are done, cover is tight.
- Just need the one light and that’s it, right?
- Need to put furniture in for the winter.
- Need to tell the pool company to drain the baby pool.
- Need to ask the pool company when we can turn off the water.
