CHP HOA Board Meeting Minutes

Board Members in attendance: David Bergeron, Sarah Lewis, JJ Gentry, Toni Jumper, David Wright, Karen Sipos, Jan Talkish-Rigney

Residents in attendance: 5

  1. Sign restoration: The White Oak and Cedar Field signs restoration is in progress. Expected completion end of May.
    1. The signs fell apart during removal and will need to be remade instead of restored.
      1. Cost will exceed what was budgeted due to the damage.
      2. Pressure treated lumber is being used for the rebuild of the signs posts
    2. Hollingshed sign is scheduled for restoration next year.
  2. Pool and Playground Fence project: The replacement of both fences is complete!
    1. Single and double gates are on both, locked with key access only.
    2. Iron fence/ clubhouse pieces restoration project is ongoing.
      1. Painting being done to older fencing and gate.
    3. In the future we will discuss pouring pads for trash cans and small sidewalks or pavers.
    4. “Rules” signage will need to be replaced on the fences.
  3. Spring Market: May 3rd from 1 – 5
    1. $1,460 was raised in vendor fees less $416.97 used to purchase additional signage for the market leaving $1,043.03 in revenue.
    2. All vendor fees are put in a reserve for the use of clubhouse maintenance needs and updates.
    3. The Holiday Market is scheduled for Dec. 6 from 1 – 5.
      1. Vendor call expected to open the first week in Aug.
  4. Pond Management: Contract start date was in April
    1. Inspection of ponds will happen in March
    2. Ponds that are able to be will be fertilized.
    3. The fishing tournament this year showed larger crappie and some bass fish, indicating a balanced, healthy environment.
    4. Talk of fish feeders is in the works
  5. Playground:
    1. The Board is discussing options for playgrounds pads
    2. Pressure washing the equipment needs to be done
    3. Discussing reinstitution of the playground bricks
  6. Safety Committee: No updates at this time
  7. Landscaping report: Landscaping is in good condition.
    1. Landscape maintenance –
      1. We have transitioned to the spring / summer maintenance schedule.
      2. The city of Columbia installed sod at the intersection of Pond Oak Ln and Lost creek drive.
      3. The irrigation audit has been completed. still waiting on some repair maintenance items discovered during the audit to be repaired by the irrigation repair company. The pump problem has been resolved.
    2. Completed Periodic Maintenance / Special Project:
      1. Turf fungus treatment (weekly inspections)
    3. Upcoming Periodic Maintenance / Special Project:
      1. The Point – HOA Common Area Damage Repairs – Continuously watching for un-notified damage.
      2. Metal plate fabrication and installation + pump system dis-assemble and re-assemble for + Pump house metal base plate replacement & pump modification – Delayed until 11/2026 (assessment scheduled)
      3. Annual Beds installation (Hollingshed entrance + clubhouse sign + neighborhood / Broad River Rd)
      4. Fertilization 1 of 2
    4. Irrigation & Irrigation Pump System: Irrigation system is operational
    5. Well Systems:
      1. The clubhouse pond refill well is working.
      2. The Grove Hall Pond refill well is working.
    6. Trails: The trails are in good condition. The landscapers are on a 2/3-week rotation on the trail mowing.

Resident Question – Were the magnolias removed by the Point?

– Yes, 5 were removed, only 3 were supposed to be. The Point developer is responsible for providing replacements.

  1. Split Rail Fence discussion:
    1. A homeowner has asked, if the split rail is not repaired, can it be removed?
      1. Could vinyl be used vs. wood?
      2. Would shrubs be a better option?
  2. Pool: Opens May 1st:
    1. No timeline on furniture that is being fixed
    2. 2 PolyWood tables are coming in order to replace rotted tables.
    3. Pool fob activation – master list has been sent by Sonitrol
      1. Fob testing will happen this week.
    4. New pump to be installed in the next few days.

Open Questions:

The pond on Grove Hall Lane – has the trail been maintained for access? The pond backs up to private homes, all around and should not be considered public if the trail is not available.
